Every international shipment has to clear customs in the destination country, and sometimes on export as well. Clearance depends almost entirely on paperwork. When the documents are complete and accurate, shipments usually move smoothly. When details are missing or unclear, goods can be held, inspected or returned, which costs both time and money.
Most customs delays are caused by vague descriptions or values that do not match the invoice.
The core document is the commercial invoice, or a pro forma invoice for goods that are not being sold. It lists the sender, the receiver, a clear description of each item, the quantity, the value, the currency and the country of origin. Descriptions need to be specific: “cotton men’s T-shirts” rather than “clothing”. A packing list sets out how the goods are packed, with weights and dimensions for each package. Depending on the goods and the destination, you may also need a certificate of origin, licences or permits, and the HS tariff code that classifies each product.
Duties and taxes are set by the destination country, not by the carrier or by us. It is also important to agree in advance who pays the import duties and taxes, the sender or the receiver, so the recipient is not surprised on delivery. We help you prepare the export documents for your shipment and coordinate with licensed customs brokers where clearance is required. If you are shipping a product type for the first time, tell us what it is when you request a quote and we will let you know which documents are likely to be needed before anything is booked.
